Central Fax Service


Introduction

The Central Fax Service provides electronic fax capability to electronic mail (e-mail) users at NIH. With the Central Fax Service, all NIH users can send and receive faxes directly to and from the desktop more efficiently and cost-effectively than traditional faxing. Increased productivity, reduced equipment, supply costs, and telecommunications fees are the benefits the Central Fax Service can bring to the IC's.

The Central Fax Service is administered by the CIT Enterprise Mail Infrastructure Branch (EMIB). The service is provided ONLY to NIH employees, authorized NIH contractors, and other official users of CIT services.

Sending a Fax

The fax server now supports international fax dialing.

Local Fax Number 9-AreaCode-Fax-Number e.g. 9-301-123-4567
Long Distance Fax Number 9-1-AreaCode-Fax-Number e.g. 9-1-404-123-4567
International Fax Number 9-011-CountryCode-Fax-Number e.g. 9-011-85-228584620

    From Exchange or Outlook mail client
    1. Open your Exchange or Outlook mail client and choose New Message toolbar button. The Send dialog box appears.
    2. In the To text box, enter the fax address in the format:
      [FAX:name@faxnumber]
      where name is the name of your fax recipient and faxnumber is your fax recipient's fax number.
      e.g., To: [FAX: JSmith@9-301-123-4567]
    3. Enter a subject and comments if necessary. You can also include file attachments in the message body if you want.
    4. Click Send. The fax is routed to the Fax Server for processing.
    From SMTP or Non-Exchange Client
    1. Compose a New Message
    2. In the To text box, enter the fax address in the format:
      UserName%faxnumber@fax.nih.gov
      where username is the name and faxnumber is the fax number of your fax recipient.
      e.g., To: Smith%9-301-234-5678@fax.nih.gov
    3. Enter a subject and comments if necessary. You can also include file attachments in the message body if you want.
    4. Click Send. The fax is routed to the Fax Server for processing.

Receiving a Fax

To receive a fax, you need to do the following steps:

  1. Contact your Local Admin to get your inbound fax number.
  2. Once you get your inbound fax number, someone can send you a fax and it will automatically placed in your email inbox. By clicking on the attached image, you can view the fax on your screen. Or you can print, store, forward, or fax it to someone else.
